Property management
Most estate agents tend to focus their resources on either the sales or the letting aspect of the business, offering property management as a support service co-ordinated by junior employees. At ORION we guarantee the management of your property will be supervised by a senior member of staff ensuring that your property is well looked after throughout the tenancy.
Furthermore, if your property is currently occupied and simply needs to be managed, we will provide this service with the utmost care.
From preparing the inventory and schedule of condition, organising optimum insurance policies and most importantly periodically checking and informing the landlord of the condition of the property, we aim to pre-empt any potential problems. If any extra maintenance work or purchases are needed, our staff will make the necessary arrangements subject to your approval.
Terms & conditions relating to the letting (and/or management) of private residential properties with non-protected rents.
Having been instructed to let and/or manage your property we will undertake the following:
- Actively marketing your property and/or instructing a local agent(s) to secure suitable potential tenants. After assessing their suitability by interviewing potential tenants we will seek comprehensive and satisfactory references. Subject to your approval and receiving satisfactory replies to our enquires we will agree a tenancy.
- Preparing the appropriate Tenancy Agreement and serving the necessary legal notices or checking those prepared by the introductory agent.
- Issuing the rent demand with deposit request and ensuring that keys are released to your tenant(s) only once we have cleared funds. It should be noted that the deposit will be held in our clients account for the duration of the tenancy.
- Advising the tenant(s) to transfer all utilities into their name, in addition to writing to all relevant utility companies to ensure that the landlord will not be held responsible for any charges incurred during the tenancy.
- *To settle all final utility accounts on behalf of the landlord, prior to the commencement of a tenancy, out of funds received in advance.
- To arrange for the preparation of an inventory of the contents and a Schedule of Condition of the property at the commencement of a tenancy. Checking through the prepared inventory with the tenant and obtaining their signature acknowledging their acceptance thereby reducing the likelihood of a dispute at the end of the tenancy.
- *Issuing subsequent rent demands on predetermined dates throughout the tenancy and collecting rents.
- *If required, we will pay all regular outgoings e.g. water rates, insurance premiums, service charges, ground rents, out of rents received. Landlords must advise the various authorities that all bills should be addressed care of ORION Property Management.
- *To arrange for maintenance works or purchases up to the value of 1000 CZK during the tenancy (anything over this amount we would seek the authorisation from the Landlord before going ahead). In case of an absolute emergency we would use our discretion for which course of action to take.
- *We will retain a set of keys to the property in order to gain access in case of emergency.
- *To arrange for the inventory to be checked at the conclusion of the tenancy and a schedule of dilapidation's to be prepared and costed.
- *At the end of a tenancy the tenants deposit will only be returned once any damages or dilapidation's, subject to fair wear and tear, have been agreed and deducted. We will also require receipts showing final accounts for utilities have been settled.
- *We will arrange for any items to be replaced or repairs to be carried out at the end of the tenancy in accordance with the inventory.
- *Arranging insurance policies relating to building and contents, if required.
We will be happy to manage a property even if it is already let. It should also be noted that our terms of reference may vary depending upon the circumstances of a particular tenancy.

Charges
In the event of us effecting a tenancy and/or a management on terms acceptable to our client our charges will be as follows :
Letting fee
Letting fee is one month rent and is due when the first rent is paid to the Lessor.
Management fee
5% (plus VAT)of gross rent for the entire term payable as the rent is collected, but not less then 1.000,- CZK per month. Our management service does not apply while the property is vacant and an another separate fee is chargeable depending upon the extent our services are required.
Sale fee
In the event that a sale is agreed with the tenant or associated party we shall be entitled to a commission based on 3-6% of the agreed sale price.
Furnishing & Refurbishment
The following charges (plus VAT) will apply for arranging and supervising any furnishing and/or refurbishment works:
